job purpose

Provide high level secretary and administrative support for GM, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the company’s operations, procedures, and people. Track and follow-up with pending task set by the GM.

key accountabilities

· Manage GM’s appointments and schedules and make travel arrangements to make best use of his time.

· Gather, compile, verify, and analyse information for GM to use in documents such as memos, letters, speeches, presentations, and news releases, copy, fax and scan files as required.

· Facilitate smooth communications between GM and managers or employees, between GM and external parties such as media, customers, and the public.

· Handle confidential information and maintain the security of GM’s records and files.

· Answer phone calls, screen them and take messages from external or internal sources for GM so that callers/visitors are dealt with promptly, courteously, and accurately.

· Plan, organise, and schedule own workload so that these activities are completed accurately and on time. These activities include preparing documents and presentation materials, screening and responding to incoming correspondence, inquiries, and phone calls, drafting letters and official information releases, arranging and attending meetings, taking and distributing minutes.

· Follow up assignments by GM and ensure timely completion of tasks from each department.

· Managing the flight tickets agency and control the cost for the company.

· Be the coordinator of CX and communication issues from the headquarter.




MAJOR CHALLENGES

1. Administrative work well planned and organized and a strong support for GM, gain knowledge of product and business in a short time;

2. Hands on work in the first phase.

3. Ahead planning of upcoming tasks and issues

4. Strong personality to track issues set by the GM

Main interfaces

1. Internal: All employees

2. External: Headquarters, government officials, customers…

qualifications

EDUCATION: Bachelor degree or above, major in English or business administration.

EXPERIENCE: 3 to 5 years

of executive level assistant experience in MNC's

LANGUAGE SKILLS: Very good English spoken and written communication skills

computer skills: Very good skills in MS Office (Word, Excel, PPT, Project)

KEY COMPETENCY

· Proactive & energetic, a high respect of confidentiality is necessary;

· Effective in setting priorities, managing time, and responsive to a wide range of business projects;

· Good interpersonal skills, esp. ability to communicate with senior management, follow up and push things to be done as required.

· Be able to work under pressure
